Privacy Policy — Checkride Assistant
(APD Checklist)

Who This Applies To
Checkride Assistant is distributed for use by airline flight crew and training staff (New-Hire and Upgrade pilots, Instructors, PCAs, and APDs) to manage their own training records, and for personal record keeping purposes, checkrides, schedules, and related communication. If you don't hold one of these roles, this app isn't intended for you, and this policy describes how we handle data for those who do.
1. Information We Collect
Account & profile information
- —Identity: name, employee ID, email address, seat position, and role (New-Hire, Upgrade, Instructor, PCA, or APD)
- —Sign-in data: if you use Apple or Google Sign-In, we receive the identifier and email those services provide — we never see or store your Apple or Google password
- —School code: used to associate your account with the correct training program
Certification, training & medical records
To support the checkride and upgrade review process, the app stores information you or your APD enter, including:
- —Pilot certificate number, type, and date
- —Medical examiner name and medical certificate date
- —Government ID type, number, issuing state or country, and expiration date (passport or driver's license — we do not collect Social Security numbers)
- —Flight time, training hours, and limitation records relevant to your review
- —FTN and FAA application status
Documents you upload or scan
Certificates, transcripts, logbook pages, and similar documents you choose to scan or upload for your training file. On iPhone and iPad, this can include photos captured with the in-app document scanner; on Mac, documents can be chosen from Files or Photos only.
Schedule & trade board data
- —Your imported flight schedule (shifts, dates, and times)
- —Shift trade posts and proposals you create, and messages exchanged with another pilot while arranging a trade
Crew Challenge data
If you use Crew Challenge, we store your access code, the quiz questions and answers for each challenge, scores, and completion times — kept for your 10 most recent challenges.
Device & usage data
A push-notification token so the app can deliver alerts (new messages, trade activity, review updates), and basic app version information used to prompt an update when required.
2. Camera, Photos & Calendar Access
The app requests device permissions only where a feature needs them, and only at the moment you use that feature:
- —Camera — scanning documents directly into your training file (iPhone/iPad only)
- —Photo library — attaching an existing photo of a document instead of scanning one
- —Calendar — exporting your flight schedule to your device's Calendar app, only when you tap Export
- —Google Calendar (optional) — if you choose to connect a Google Calendar account instead of using your device Calendar, the app requests access to view your list of Google Calendars and to create, update, and delete the schedule events it exports on your behalf. This is a separate, explicit connection you turn on and off yourself in the app — it's independent of using Google to sign into the app, and disconnecting it never signs you out
None of these are accessed in the background — each one only activates in response to something you do.
3. How We Use Your Information
- —To operate the checkride, KV, and LOE review process between you and your APD or PCA
- —To display and manage your training schedule and shift trades
- —To send you push notifications about messages, trade activity, and review status changes
- —To run Crew Challenge and keep a history of your own past challenges
- —To verify you're running a supported app version and prompt an update when required
We do not use your information for advertising, and we do not sell or rent it to anyone.
4. Storage & Security
Your data is stored using Google Firebase (Firestore, Cloud Storage, and Cloud Functions), encrypted in transit over HTTPS. Access to the underlying database is restricted by security rules tied to your account and role — for example, only your assigned APD or PCA can view your review, and only you and the other pilot in a shift trade can see that conversation.
5. Who Can See What
- —You: your own profile, documents, review, schedule, and messages
- —Your APD / PCA: your training records, review, and uploaded documents, to complete your checkride or upgrade review
- —Another pilot: only what you share directly — a trade post you make public on the board, or messages in a trade you're both part of
6. Third-Party Services
We rely on the following service providers to operate the app. They process data on our behalf and are not permitted to use it for their own purposes:
- —Google Firebase — authentication, database, file storage, and push notification delivery
- —Apple Sign-In / Google Sign-In — optional sign-in methods, used only if you choose them
- —Google Calendar — used only if you connect a Google Calendar account, to create and manage the schedule events you export
7. Data Retention
We retain your training and review records for as long as your account is active and as required to maintain your training file. Crew Challenge history is automatically limited to your 10 most recent challenges — older ones are deleted as new ones are completed. If your account is deactivated, contact us using the details below to request deletion of your data, subject to any records your employer is required to retain.
8. Your Choices & Rights
- —You can review and update most of your own information directly in the app
- —You can control which push notifications you receive from your Profile
- —You can delete a trade post, an accepted trade, or a past Crew Challenge yourself, directly in the app
- —You can request a copy of, correction to, or deletion of your data by contacting us below
9. Children's Privacy
This app is restricted to authorized flight crew and training staff and is not directed to, or intended for use by, children.
10. Changes To This Policy
If we make material changes to this policy, we'll update the effective date above and, where appropriate, notify you in the app.
Checkride Assistant is developed for airline training staff and flight crew. This policy covers the app only, not other airline or airline-partner systems it links to (such as IACRA or Designee webpages).
